Privacy policy
Last updated October 4, 2026
White Rabbit (whiterabbitai.org) tracks computer science deadlines, funding and proceedings statistics. You can read the public pages without an account. This page explains what we store when you create one, why, and how to remove it.
What we collect
- From the sign-in you choose. Google: your name, email address, profile picture and language. GitHub: your name, email address, picture, username, and the company, location, bio and website on your public profile. ORCID: your ORCID iD, name, and the employments and educations on your public ORCID record. An email link: the email address and name you enter.
- What you add. Optional profile details: career stage, research area, institution, country and interests; the venues and grants you star.
- When you use your account. The country you sign in from (as reported by our network provider, not your exact location), the date of sign-up and of each sign-in, and for active sessions the IP address and browser, so sessions can be secured and ended.
- Questions to Ask White Rabbit. The question, the answer and the page it was asked from, without your name, email or address; we remove email addresses and phone numbers from questions before storing them.
We do not collect passwords: sign-in is through Google, GitHub, ORCID or a one-time email link.
Why
- To run your account: sign you in, keep your starred venues on every device, and give you personal calendar feeds.
- To improve White Rabbit: understand who uses it (for example, how many PhD students in systems), which venues matter to them, and what the assistant cannot answer yet. Such statistics are only ever reported in aggregate, never about one person.
- To keep the service secure and stop abuse.
Who else handles it
We do not sell or share your data. These services process it on our behalf: Cloudflare (hosting, the account database and the assistant), Resend (sending sign-in emails), and Google, GitHub or ORCID when you sign in with them, under their own privacy policies.
How long we keep it
- Your account and profile: until you delete your account.
- Sessions: 30 days after your last visit.
- Questions to the assistant: one year.
Your choices
- See and edit your profile on your account page.
- Delete your account there at any time; this removes your profile, starred venues, sign-ins and sessions.
- Reset your personal calendar links if you shared one by mistake.
- For a copy of your data, or any other question, write to support@whiterabbitai.org.
Cookies
One cookie keeps you signed in. There is no advertising and no tracking for advertisers. A few preferences, such as your colour theme, are kept in your browser only.
Changes
If this policy changes, the date at the top changes too, and significant changes are announced on the site.
